Participant Rules and Regulations

These apply to ALL participants including cast, performers, merchants and employees.

This is a generalized listing of rules and regulations for all participants at the Louisiana Renaissance Festival, hereinafter referred to as "Festival". There are additional rules and regulations that pertain to specific areas of participation. You are responsible to familiarize and adhere to all rules and regulations governing your involvement. Copies of additional guidelines are available through the Festival or the staff member overseeing your area of participation. These rules are subject to change. A current copy of the rules will be provided upon check-in. If changes are made to these rules after the start of the festival, an announcement will be made at the first cast call and merchant meeting following the change. The new rules will become effective upon the announcement. A copy of the rules (with the current revision date) will be posted in the office. The Festival will not be held responsible for injuries to participants and their guests on site. Each participant and their guests acknowledge this waiver of liability and agree not to name the Festival, its agents, employees, or its owners in any lawsuit claiming injury. Each participant agrees that they have entered the Festival grounds at their own risk and shall be held personally accountable for any damage to personal property on site or personal injury to other participants or guests of the Festival.

The Festival office has resource information on service suppliers, general construction sources, local restaurants and neighboring recreation areas. The office also maintains a list of available public and private campgrounds in the vicinity.

 

PARTICIPANT REGISTRATION AND PASSES:

The Festival will issue a Photo Site Pass, hereinafter referred to as "Pass", to each registered participant. Passes must be carried at all times while on Festival property. The Festival maintains a non-recognition policy and reserves the right to question and expel any individuals unable to identify themselves by means of a Pass when questioned by staff or security personnel.

Passes remain the property of the Festival. Termination of employment voluntary or otherwise requires the immediate surrender of your Pass to your employer or to the Festival Site Office directly.

Fraudulent use of a Pass will result in disciplinary action with respect to continued Festival participation and/or the cancellation of existing contracts.

DO NOT MISPLACE YOUR PASS! Initial Passes will be provided to participants at no charge. Duplicate or replacement Passes will be provided for a $5 processing fee. If you leave your Pass at home, you will be required to purchase a duplicate Pass prior to being admitted to the Festival site.

EXHIBITORS, GAME AND RIDE PURVEYORS AND THEIR EMPLOYEES – Employers will be issued ‘Photo Pass Applications’ for themselves and their employees. These must be completed and brought to the Festival Office for processing. It is the employer’s responsibility to ensure every employee has received his or her Pass prior to Festival opening. If an employee loses or misplaces their Pass, their employer must accompany them to the Festival Office to have a duplicate Pass issued. The fee for a duplicate Pass will be $5.

FESTIVAL EMPLOYEES – ‘Photo Pass Applications’ will be provided to all employees during their orientation. These applications must be completed and presented at the Festival Office for the Pass to be issued. If an employee loses or misplaces their Pass, they must report to the Festival Office to have a duplicate Pass issued. The fee for a duplicate Pass will be $5.

 

 

FESTIVAL EMPLOYEES

Contracted entertainers must check in prior to the start of cast call with the entertainment director or his assistant. Contracted entertainers are required to stay through cast call unless prior arrangements have been made with the entertainment director or his assistant.

Festival employees must check in with their supervisor prior to their scheduled shift. Failure to check in prior the start of their shift will result in them being listed as a no-show for their assigned shift, and may result in suspension or termination.

ALL INJURIES MUST BE REPORTED TO THE FESTIVAL MANAGEMENT. On show days, the first aid office will determine the seriousness of the injuries and treatment required. Injuries occurring during the week must be reported to the Festival.

 

GENERAL RULES:

Failure to comply with this section or failure to report incidents under this section may result in disciplinary action with respect to Festival participation and/or the cancellation of existing contracts.

Each participant and staff member must operate in compliance with all laws and ordinances of the state, county and any other applicable government agencies.

Report any individual on site deemed suspicious in nature or actions in violation of the law or these rules and regulations to the Festival Office, a staff member, or site security in an expedient manner. Remember that this policy is for the protection of you and your personnel property.

Participants may not bring alcohol or glass containers onto the Festival stage areas, front or back stage.

No firearms, pellet/b-b guns, fire crackers or any other munitions are allowed on the Festival property. Prop weapons, such as long bows or crossbows require written permission in advance. Swords and other bladed weapons must be peace tied at all times. Anyone breaking this rule will be expelled from Festival participation.

All Festival participants are strictly forbidden from switching employment within the Festival once the event season has commenced without the expressed consent of the Festival management. Employees in violation of this rule will forfeit further participation for the season and employers may face disciplinary action.

No trespassing in areas which are not specifically designated for participant’s use. Trees and large bushes may not be removed or destroyed without permission from the Festival.

PICK UP YOUR TRASH! We all have a responsibility to keep the Festival clean; please do your part. Overnight/camping areas as well as exhibitors areas, front and backstage, must be MAINTAINED in a CLEAN condition AT ALL TIMES!

Any individual who remains on site after dark must possess and carry a fully working flashlight when walking on site at night.

Playing games is not allowed on Festival roads.

 

E.E.O.C. GUIDELINES

The Louisiana Renaissance Festival is an equal opprotunity employer and we support the goals and objectives of the Federal and State E.E.O.C. guidlines pertaining race, religion, or sexual harassment. This includes any unwanted attention or harassment between participants and/or Festival visitors. In the event that you are a victim of such behavior, we suggest you do the following:

Tell the individual that his/her behavior is unwelcome and that it should stop immediately. (Ignoring it will not discourage the behavior).

If the situation persists, report it to a Festival staff member, your direct supervisor, or the supervisor of the individual creating the problem (if employed by the Festival).

Take notes; if possible, keep a written record of what the individual says/does, the date and time, who witnessed it, how you responded to it, and to whom you reported it.

If you have any concern for your safety or well being, bring your concern to the Festival Management immediately.

 

OVERNIGHT STAYS/CAMPING

Only registered participants with camping authorized on their Passes are allowed to stay on Festival property overnight.

An "Overnight Stay Release Form" must be signed and filled with the Festival prior to any stay-over.

Temporary campgrounds are provided on Festival property for the accommodation for general participants. No participant may set up camp or stay over in one of these designated areas prior to registering to camp and paying all associated deposits and/or fees.

After completing your camping registration, your Pass will annotate your status as a "Paid Camper".

Registered participants who are not registered campers that want to stay overnight at a friends campsite must receive a temporary overnight camping permit from the Festival office. This permit will be valid for only one weekend.

Special authorization is required for overnight stays on Festival property outside of the designated temporary campgrounds.

 

VISITORS – FRIENDS, FAMILY, CUSTOMERS, ETC.

The Festival forbids any participant to allow any non-participant entry into the Festival on an event day except by means of a ticket admitted through the patron entrance (front gate), during event hours.

At no time on an event day is a participant to allow a non-participant access to backstage areas.

On event days all non-participants are required to leave the Festival at the close of the event.

On non-event days participants are strongly encouraged to visit with non-participants "off-site". If circumstances necessitate a visit on-site the visitor(s) must report to the Festival Office to receive a temporary visitors permit.

The visit must be approved and the visitor(s) checked-in prior to any entry into the Festival grounds. Festival reserves the right to deny, limit, or set conditions upon any "on-site" visit.

Advance approval may be given by the Festival, which will shorten the time it takes for the permit to be issued. It is the participant’s responsibility to be at the Festival office when their visitors arrive.

Visitors MUST BE ACCOMPANIED AT ALL TIMES by the participant who signs them in. If Security asks a visitor for their permit and the participant is not with them, the visitor will immediately be escorted off site and the participant will not be authorized future visitors.

 

CHILDREN

No unsupervised children are allowed on site. All walking children will be issued a Pass. Children must be properly attired – including shoes- while on site. Parents/adult guardian must be with the children at all times. No children are allowed to play on or with Festival equipment, bleacher seating or permitted to climb any trees. Parents/adult guardian will be held responsible for their children’s behavior.

MINORS (participants under the age of 18) are not to be on site at any time other than work related hours, without the expressed permission of Festival management.

 

DAYCARE ON EVENT DAYS

Sitters must be registered participants of the Festival.

If parents choose to hire a sitter that is not already a Festival participant, they may register their sitter as their employee. A fee of $20 will be charged and the sitter will be given a Pass, which will allow them access front and back stage from 30 minutes prior to cast call to 30 minutes after closing gate. The parents are responsible for the actions of the sitter as well as their child.

Sitters and their charges must be attired in Renaissance theme costuming if appearing front stage.

Sitters are not to interfere with the work of other participants.

 

UTILITIES

Do not hook up to any electrical or water outlet without written permission from the Festival.

 

 

 

MOTOR VEHICLES

Motor vehicle operation on Festival property, beyond the patron and participant parking lots, is restricted on Festival days. Vehicle permits will be issued for participant parking. Other permits may be issued as required.

VEHICLE PERMITS MUST BE DISPLAYED on the driver’s side of the dashboard AT ALL TIMES the vehicle is on Festival property. Vehicles without permits are subject to towing at owner’s expense.

Special permits are required for parking outside participant parking.

VEHICLES PARKED NEAR SERVICE ROADS ARE NOT ALLOWED TO OPERATE DURING SHOW HOURS. If you will need your vehicle during show hours, park in participant parking prior to show start.

DRIVE SLOWLY at all times and obey traffic signs.

On festival days all vehicles must be offsite at least 30 minutes before our scheduled opening and must not return onsite until the show has been closed for at least 30 minutes. Owners OR drivers of vehicles that are found to violate this rule will be fined $50 for each violation.

Please respect the access of your neighbors and park responsibly. IMPROPERLY PARKED VEHICLES ARE SUBJECT TO TOW AT OWNERS EXPENSE. DON’T BLOCK THE ROAD!

 

PETS:

The Festival promotes and requires responsible ownership of pets for the sake of the pets, other participants and the Festival alike. Therefore, the behavior of pets residing on Festival property is restricted as follows:

Pets creating excessive noise to the level of becoming a nuisance will not be tolerated.

Pets perceived by the Festival as aggressive and menacing in nature are not permitted on Festival grounds.

Pets are to be kept under control at all times.

No pets are allowed in front of shops or on Festival paths at any time. All participant pets must be kept backstage.

Pets must be fully vaccinated with documentation on site.

Pets are not to be left unattended on site. On event days dogs backstage in camping area must have a sitter present. This may be done on a communal basis.

Failure to meet any and all of these requirements may result in the owner being responsible for making alternative living arrangements for the pet off-site.

 

PERSONAL APPEARANCE AND 21ST CENTURY ANACHRONISMS DURING FESTIVAL HOURS:

The following are guidelines governing personal appearance and behavior during Festival hours. Special requests for variance to individual rules may be submitted to the office.

Keep in mind this is a Renaissance Festival-- play along! Dress and act appropriately for a 16th Century European renaissance Festival. Check with the Festival office for resources and workshops. The Festival reserves the right to deny any costume or prop it deems inappropriate.

Male participants are required to wear a hat as well as a shirt with long sleeves.

Female participants are required to wear a hat, garland, snood or braid their hair.

Large, dominant tattoos must be covered from view at all times.

All piercing must be appropriate to the time period or covered (subject to Festival discretion).

PARTICIPANTS MAY NOT SMOKE ON THE FESTIVAL OR IN A SHOP AREA. Smoking must be done backstage, off-stage and out of public view. Period pipes and cigars (no obvious plastic or paper bands) are allowed.

The public should not see or hear anachronisms. Keep electronic devices turned off and out of sight during Festival hours of operation. Keep watches, play pens, pop cans, sunglasses and other 21st Century items out of sight.

Any participant found to be under the influence of alcohol and/or drugs will be subject to immediate dismissal.

Please put your problem or questions in writing and turn it in at the office. Remember this is a Festival, and we are here to have fun! Enjoy yourself and the Festival atmosphere!
